Organizing Project binders

Can anyone tell me how to set up a project binder? I mean as far as the labeling of the dividers. We just started doing commercial work and I am trying to keep up with all the aia forms, change orders, and
submittals. When we go to progress meetings the engineer firm's office manger has a 3 ring binder with dividers ( she finds everything quickly). I would ask her, but do not want them to think we don't know what we are doing. We do know we are just having a project organization issue. We would like to streamline our process for keeping track of everything for that project and access it quickly.

Don't be embarrassed to ask. People won't look down at you for learning. I would compliment her and then say how is that setup? How did you organize that? More then likely it will become a good teaching moment.
We have job folders for all of our projects.
They contain:
A modified copy of the contract and scope of work. No pricing is included.
Change orders.
Any project specific specs.
All msds sheets required by OSHA.
A copy of our insurance docs.
A daily log that is required to be filled out EVERYDAY.
Blank lined paper and business cards.

Every project uses different aia forms. The PM sets the standards.
That is where the problem is. We are currently interviewing for a PM. But for now I am in charge of updating office and starting the Project binders. I have been filling out the AIA forms and any other documents needed for county, city and USDA Rural Development projects. I have the forms down pat, but ended up with binders that were not completely streamlined. So I thought I would ask here if there was a standard way of doing it. But I will ask the Office Manager how she does hers, because it is very organized.

It took us a hundred tries to get ours down. Of course it changes on every project. When we build dialysis centers it is different from when we build fast food restaurants.
Yeah that's what I was trying to avoid (100 hundreds) I know that each job has change orders, subcontractors, vendors, employment documents(certified, equal opportunity, etc.), Bid documents, job contract, award notices, insurance documents, bid bonds, performance bonds, pay apps, submittals, job progress reports, subcontractors, etc... It just putting all of this together in an orderly fashion and categorizing correctly in binder for easy access. I felt like having a tab for each of these items was maybe going over board on organization, so I tried to combine categories. But maybe it needs to be this detailed in order to be efficient.

For our site we use www.procore.com for all our electronic communication in respect to RFI's and submittals..

Its all there for those to see what they need to see. Owners, GC, Engineers, Suppliers, Subs.

For your paper folder, set it up how you want to use it. Its your folder, right? How someone else sets theirs up is how they find it useful. You do the same.
