Accounting Software - Free Copy
This is a copy of the simplest, easiest, most basic, accounting, record keeping, or whatever you want to call it, software. In this link, is a MS Word File and a Adobe PDF file with instructions, and reasons why this is the only program we would use for record keeping for tax purposes, IRS audits, insurance company audits,n and payroll reports for employees, insurance companies, and the IRS. Because I made it, of course!
This software is a component of our entire transaction filing, reporting, archiving, and retrieving system. It is simplified, but it works.
Be prepared to read for about 20 minutes.

If you go to the very bottom, of my home page, you will see links to all my free programs. You see! They are still free.
You should be able to run this program without owning MS Access. The first time, you load, one of my programs, you need to install the free MS Access Runtime. When you install 2nd, 3rd, or more programs, click on the link that says 'without Access Runtime. Either way, the programs will download (hopefully), but installing, more programs, without Runtime, is much faster.
Incidentally, if you like or dislike something, about the programs, write a post. You won't hurt my feelings.

Ha, I could really care less, but you certainly seem to get annoyed by all his constant posts. As a fellow California contractor to pcplumber, I personally find a lot of his info helpful as it's written for the same state.

Hey PC … now why would we want to do that? I believe somewhere in the forum rules we are not supposed to blatantly promote products without at least paying for advertising. I JUST DO NOT TRUST you pc. Plain and simple. I keep thinking about the story of a Wooden Horse and some guys named Trojans and some nasty Female named "Helen".
It all goes back to that illustrious first post, which you have since edited the heck out of.

How efficient our business is run with our software.
Maybe, this will help some contractors to understand why I am pushing my software and systems. This post will, also, be an answer to the post that asked how can a contractor manage several jobs, or does he have to hire subs.
I'm running a shop with 30+ employees. I have another fairly large business (won't mention here), that requires a lot of employee management, and I have only one part-time secretary. This is how I run two businesses, with 1/2 a secretary, and I work, in the field, from 7:30 to until all my field work is finished, every day.
This is how the software works for me.
5:30 I live at my shop. Wake up and work out for 20 to 30 minutes
6:00 have breakfast
6:20 to 6:40
CONTRACT SOFTWARE Type two to five entire contracts, every day, with my contract writing database. The previous day, we hand-write the contracts. The database has templates that speed up writing the contracts. We type all the contracts, with much more detail regarding the scope of the work, and the terms of payments. I Place a copy, of each contract, on a table, for employees and supervisors, and place one copy, on a clipboard, on the wall, for the supervisors, and the secretary
This is important: The contract database prints out a report showing all active jobs. The report is placed on a clip-board. Every day, the supervisors look at the Job Report, and they make an entry, indicating the status of the job, and acknowledge, they are on top of the job. With this system, we never forget to send an employee to a job. This has been a life-saver.
6:40 to 6:50
CUSTOMER LIST DATABASE - I update the Inspection Campaign records in the Customer List Database. When we inspect jobs, we write an invoice, and give a copy to the customer, stating everything is perfect. Then, we transfer this information, to our Customer List database, and change the filter field, to remove the inspection from the current report. Then, I print a new Inspection Report. We carry this Inspection Report, in our truck, so we can make notes, as we complete inspections, and we can call customers, to schedule appointments, when we are in specific zip code area. The list is sorted by zip code.
6:50 to 7:00
DISPATCHING SOFTWARE Remove the previous day's completed service calls, from our Dispatching Software, and transfer the new service calls, from the hand-written Call Sheet, to the software. Print a separate dispatch report, to give to each employee, and print an entire list to keep in my vehicle.
7:00 to 7:15
Employees show up, get their contracts, load up, and everyone leaves the shop. About 30% of the day, their is never one person at the shop. Many days, nobody is at the shop.
7:00 - 8:00 WEDNESDAY MORNINGS
PAYROLL SOFTWARE - Employees turn in their payroll. Our payroll may be considers fairly complicated, since our employees are paid with many different hourly, daily, and commission schedules. Payroll, for some jobs, often get carried over, to a 2nd, or 3rd week. But, have no fear, because the Payroll Software makes all this flow smoothly, and error-free.
The employees have two different types, of times cards, and a Job Breakdown:
BLUE - The supervisors fill out a Job Breakdown form. This lists the entire amount of the job, and the percentage, the job pays. It shows how much each employee is will be paid. The computer gives each job a number, and this number is on the contracts, and the Job Report.
PINK - The helpers fill out a pink time card. These employees usually get a flat daily/hourly rate. This form indicates, whether or not, they are getting paid for delivering flyers, or what specific job they are worked on.
PURPLE - The lead plumbers fill out a purple Time Card. This indicates, what jobs they are getting paid for, and the amount.
WEDNESDAY the secretary transfers the information from the three forms to the Payroll Software. On Thursday, if their are problems with payroll, the secretary discusses these issues with the employees.
THURSDAY EVENING - It takes me less than 10 minutes to look at the entire payroll. We usually have about 65 records every week. I scroll through the records, make corrections, and print three reports. One report is a list of employees and the amount each gets paid. This is the list we use to write the checks. The second report shows all the jobs for each individual plumber and the total he earns. Each plumber's list of jobs, and his total amount paid, should be exactly the same as the blue or pink time card. The third report shows the calculations for every job. This would be the same as the blue Job Reports.
On Friday, I open the mail and tell the secretary which bills to pay and what accounts to write the checks from. The secretary writes all the checks, for employees, and for the bills. On Friday, near the end of the day, I double-check the written checks, and sign them, or if I am late, my wife or ex-wife (believe it or not) signs the checks.
During the evenings, when I'm not on the forum, I go enter the new customers in the Customer List Database, and work on advertising campaigns.
12th to 15th of every month.
ACCOUNTING SOFTWARE - The secretary opens bank statements, and transfers information, from the statements, to the Accounting Software. This takes her less than two hours, every month. She prints three reports, and faxes them, to our CPA. The CPA faxes, the exact amounts we need to pay, for payroll taxes, by the 15th of every month.
1st of every month.
ACCOUNT RECEIVABLE SOFTWARE - The secretary transfers the account receivable, from the ledger cards, to the software. We have about 250 accounts. With checking the collection and Mechanic's lien status, of some customers, this may take her up to four hours. She prints the statements, and we have about 4 employees, put the statements in envelopes, at the end of the day.
You can see where my secretary probably works only about 12 hours a week.
She makes a bank deposit every day. 1 hour
Payroll on Wednesdays - 6 hours - I do it on two hours.
Write checks every Friday - 2 hours
Payroll taxes only once a month - 2 hours, or 1/2 hour per week
Account Receivables only once a month - 4 hours, or 1 hour per week.
Secretary does almost no filing.
I like to file all my own records. This takes less than 30 minutes, per month. I put everything is a stack, and do it all at the same time. We save very few account payable records. We keep all the important receipts, but who needs thousands of old bills for gas and utilities. We keep a copy of a few bills, for verifying account numbers, and throw the rest in the trash. All these payments can be verified with copies of the checks.
THAT IS IT! Very fast, efficient, accurate, and I have time to be in the field, and get home, usually between 1:00 to 3:00.
