Maintenance Records

What are you using to track your maintenance of trucks and equipment?

Do you track it?

Do you do preventive maintenance?

Are you using paper forms?

Are you using software?

I'll go ahead and admit it, since I'm sure I'm not the only one. I just try to rember the "last time" that "whatever" was done to a particular truck or piece of equipment.

we have software that keeps track of the hours. And yes we do all the preventative maintence according to machines manual. I don't know the name of the software, but I could find out tomarow.

Everything we do is written on paper. Each machine and truck has its' own log book and the date of service, hrs/miles and maintenance performed is written down.

We use a maintenance software that notifies us but have a hard copy of everything as well. Fifteen years ago, we were using excel to keep up with most stuff but it became too cumbersome as our fleet became larger. Any iron that moves is maintained very well.

We're actually considering changing softwares within the next few years to something that integrates estimating, accounting, project management, and maintenance.

I use the owners maint. schedule,which has places to add notes,dates,etc.,and I follow their schedule.I worked for a guy in Vegas years ago who once a month would have a crew come out and change oil ,check fluids,etc,.They did all 14 trucks in about 90 min.

We take a sharpie and write somewhere in the cab the hours and an abreviation of the service performed. Unattractive but effective.

we just use an exel spreadsheet to keep a compilation of what/when repairs/maintenance/service was done. we sharpie the hours/date on the filters, and have the window tags on each piece that we write the hours the oil changes/etc. was performed so we can keep tabs on when they're due again. i don't think an operation our size can justify the expense of buying a program just for service tracking.
