Sending Files To Customers


can anyone tell me why is it that whenever I attach a WORD file to an email. the customer always says," Oh I can access all your documents." ARRRRGGGHH!!! I'm definately not friends with my computer (we get into fights on a regular basis. ) It taunts me in my sleep

But there has to be a way to email files to customers without giving up access to all you documents. Now keep in mind I readily admit its probably my fault. any help would be greatly appreciated.

Copy the doc. to your computer, then send as an attachment.

O.k. this is what I usualy do guys, I write the document in word save to "My documents". then when I send it (just sent it to my wifes email) I can in fact go through all my documents through the email attachment.

Do you open your Email first and then attach the doc. or do you go to the doc. and hit send email which would then open your email with doc. attached?

Damn....that's frickin' scary

I always convert anything (word, excel, drawings) to pdf format (adobe acrobat) before I send...that way nothing can be changed.

But I would love to know how sending a single document as an attachment opens up all your docs to your clients.

You are just attaching the single file/document, right?...not the folder "my documents"?

I'm totally E'tarded, but after explaining your problem to my wife, she says it's because you are saving the document to your "shared documents" folder. You should save it to a different folder that isn't "shared".

You should never, ever send a word document to a customer, period. Convert it to a .pdf or even a .tiff, but ixnay on the ordwa.

I just don't understand how in the hell attaching 1 file even from "shared docs" can open up all your docs...it's not like you're sending all the docs...the file would be huge.

I hope someone smarter than me can explain this.

Just what we need...all the clients seeing our estimating spreadsheets ..."you're even charging me for the nails too !?!?!"....arrrrgh

Send PDFs, as already suggested. Word docs are not something I would send to customers.

I do "Protect" the document so nothing can be changed. But how do you convert to PDF? I'd really appreciate any advice.

If you have a new enough version of Word it will have a choice to save as a PDF in the save drop down menu.

If you have Office 2007 there is a download free from Microsoft that will give you the ability to save as a PDF

Not sure about PCs but on a Mac, click on File - Print. In the Print dialog box, choose Print as PDF. It will generate a pdf file of that print job.

We use adobe acrobat (v 7, I think), but there are free versions out there as others have stated. Basically the programs (adobe, etc) set a "virtual" printer on your system.

When you go to print any document, for example an excel spread sheet, word document, photos...anything, a screen pops up prompting you to select your printer...either your hardwired or networked "real" printer(s) or your pdf "printer".

If you choose to use the pdf "printer", the document doesn't actually print, it gets converted to a pdf document. You are prompted to save the new pdf file (it will ask you where to save to).

It looks just like your orginal document (excel, word, etc.) on screen, but now it is in pdf format...no one can change it.

Your orginal file (excel, word, etc) still remains, but a replica pdf file is created. You can then email the pdf and not have to worry about the recipient being able to open and view the file (like you might otherwise if the recipient doesn't have the same program (excel, word, etc) to view the file that you created it in (excel, word, etc.)

The recipient does have to have a pdf reader which is available for free download from adobe and others as well I assume.

And of course afte the pdf file is created you can than print it for real as well.

Hope all of this didn't confuse you...it's kind of making my head hurt now.

Exactly. Many anti-spam/virus utilities will also block any sort of Office document.

Convert it to a PDF. There are several free utilities to do this. CutePDF is a pretty easy one.
